Administrative Assistant /Customer Service Officer
Government sector based in Pennant Hills
FULL TIME - Contract position

 

 

Client Description:

 

This is an excellent opportunity to join a reputable government department currently seeking an experienced Administrative Assistant /Customer Service Officer to join their team in Pennant Hill and will be providing support services to administrative staff and other team members to enable the efficient operation of the team/unit.

 

Key accountabilities

  • Provide administrative services including filing, mail receipt and sorting, maintenance of registers, routine purchasing, meeting and event support, photocopying, and creating and compiling documents to support the effective operation of the team/unit
  • Collect and compile information to support the development of documentation and reports
  • Respond to enquiries and routine requests for information, escalating enquiries as necessary, to ensure the provision of accurate information
  • Update records and databases, complying with records management processes, to ensure information is accurate, stored correctly and accessible
Working front counter/reception

  • Greeting clients and visitors
  • Answering phone calls, redirecting phone calls to appropriate people
  • Motor vehicles (allocation, repairs and maintenance, acquisition and disposal, schedule (fringe benefits
  • tax, complete monthly report)
  • Maintaining/archiving client files (archiving when matters are closed, logistics of incoming and outgoing files)
  • Contact workers (supervise contacts between siblings and parents, allocating the jobs/work to the contact
  • workers)
  • Financials in child story and SAP (create invoices and paying the bills)
  • Travel arrangement for clients and staff (accommodation, car, flights)
  • Payroll costing reports
  • Allowance reports during pay week
  • Reconciliation of flex sheets
  • Pro masters’ reconciliations (credit cards)
  • Petty cash reconciliations (reconciled), bills come in, attach and marry up, make sure in order and pay correctly
  • Duress alarm testing
