Description 

The Executive Assistant to the Group CEO and Senior Leadership Team is a vital role within the organisation in ensuring that there is execution of tasks across the business and strategic objectives are regularly reviewed by members of the SLT and Management Team. 
 
This role will look after company wide tasks and become the “Follow Up Manager” in the organisation, whilst promoting culture and the values of the business. 

·       Take minutes and notes of key meetings as and when applicable where one of the Senior Leadership Team is chairing or in attendance
·       Manage CEO Calendar and review for any meeting clashes, ensuring any meeting preparation needed is followed up ahead of the meeting
·       Assist CEO and Operations Director with HR Tasks as and when applicable with recruitment, document management and updating of Organisational Structure
·       Work with CEO to develop recording and follow up system for Strategic high-level goals for SLT and Managers
·       Recording and management of Employment Hero and employee reward programs in conjunction with CEO
·       Book flights and car hire as and when required and confirmation of appointments for SLT
·       Preparation of PowerPoint Template Weekly for Turbo Management Meeting and responsible for invites
·       Communicate on behalf of CEO and/or SLT as and when needed to external stakeholders, customers, suppliers and internal teams
·       Updating of KPIs for Board reporting as and when required for SLT
·       Coverage for front reception at head office as and when required including answering of phones where necessary
·       Assist with tasks across the business as and when required with staff absences or busy
·       Assist Sales Directors with reporting as necessary
·       Analysis and key improvements reported back to SLT on a monthly basis to ensure continuous improvement and refinement
·       Help ensure all processes are running smoothly, seek to optimise and drive increased efficiency as applicable
·       Ensure K2 meeting room is kept tidy and is stocked with refreshments, whiteboard markers/flip chart refills etc and any confidential papers are destroyed at the end of each meeting
·       Work with Senior Receptionist to provide snacks and meals on an ad-hoc basis for board and full day meetings
·       Ensure overall accountability around debtor follow up process and timely responses to customers

  • Deep experience in similar role(s) in fast moving businesses (3 Years+)
  • Demonstrable track record supporting at c-suite level
  • An interest or experience supporting HR activity advantageous
  • Proven track record of managing tasks and calendars for Senior Executives
  • Broad knowledge, with demonstrable experience, across a range of platforms for task and calendar management
  • Advanced Microsoft Outlook, Teams, Word Skills
  • Experience in developing PowerPoint presentations
  • Excellent writing and grammar skills
