Position Responsibilities:
Reporting directly to the Group Executive, Legal, Governance and Risk, the Executive Officer plays a critical role in divisional success through the streamlining of processes and the introduction of more efficient workflows.
Administrative Support:
- Coordinate the Group Executive’s diary and requests for meetings to efficiently schedule meetings and requests, and overall workload
- Schedule and manage the Group Executive’s regular and periodic meeting requirements and commitments, including implementing a sound plan for the Group Executive to engage with internal and external stakeholders
- Supporting the effective functioning of the Department by scheduling regular strategy, planning and operational meetings, and providing administration and coordination support
- Ensuring appropriate sign off protocols are met for approvals and execution by the Group Executive, including compliance with delegations’ policies, and ensuring that Group Executive documents and records are appropriately filed and managed
- Coordinate, prepare and review the provision of high-level communications and correspondence including reports, business cases, proposals, submissions, to ensure the comprehensiveness, accuracy and timeliness of written information
- Review reporting and material prepared by team members and the Group Executive for quality assurance
- Manage administrative requests for the Group Executive, including credit card statements and reconciliations, processing procurement requests and invoices, preparation of documents, reports and presentations, filing and record keeping, assisting with meeting preparation and coordination
- Advise and assist the Group Executive to effectively adopt and use technological solutions
- Be responsible for learning and understanding the strategic objectives and operational requirements of the organisation, Departmental functions and the Group Executive, and deliver your role to align with these
- Supporting the effective functioning of the Departmental team by scheduling regular team meetings; other meetings and forums; including creating and maintaining agendas, minutes and actions and follow up on closure of actions.

- Considering how to best manage administrative processes and coordination support for the Departmental team, providing ongoing process improvement support for optimal efficiency. • Assisting with document and presentation production, scheduling meetings and workshops, raising purchase orders and paying invoices, and assisting with other arrangements and administration as required.
- Supporting the cohesion of the Departmental team, including organising team events and team building activities and monitoring team effectiveness and cohesion, being the organisational and coordinating centre of the Departmental team, supporting a positive team culture and morale and ensuring the efficient running of the Department.
- Managing and coordinating (with others in the Department) the approval, execution and filing processes for documentation
- Managing records for external legal and other engagements, registers and budgets, and supporting planning for regular engagement and periodic reviews with external providers
- Managing Departmental team meeting agendas and logistics
- Recommending and managing system and process improvements, including adoption of enabling tools and technology
- Managing departmental team requests and registers such as for leave, training and development, gifts register
- Manage and regularly monitor access rights to Departmental systems
- Manage the planning and induction processes for new starters in the Department
- Providing project coordination and management support for projects sponsored by the Group Executive, or special projects and ad hoc tasks, including scheduling project meetings, minute taking, monitoring and following up actions and deliverables, maintaining project records and trackers, and leading projects on behalf of the Group Executive
- Assisting the Group Executive or team members to progress initiatives, projects and tasks
- Provide support to scope, plan, prepare and deliver projects and initiatives
- Establish effective governance and working group arrangements to facilitate progress and decision making
- Supporting the administration of the SGCH Project Management Framework by providing coordination support for the project approval process and ongoing project reporting
- Effectively plan and execute change management strategies, including awareness, learning and engagement
- Support the Group executive to coordinate Departmental Annual Business Planning, track deliverables against the Plan, and to report on progress to the Executive Team
- Supporting the Group Executive to manage Departmental team deliverables, and creating and monitoring effective management tracking systems
- Managing the coordination and preparation of the Departmental budget and tracking and reporting on budgets
- Research and prepare strategic advice, information and reports on complex matters, as required or requested to facilitate informed decision making and planning
- Support the Group Executive to prepare and plan activities and scheduled or regular activities and reviews, including Departmental team reviews, meetings with the CEO and Executive Team
- Support the Group Executive to manage all regular reporting requirements, including setting up reminders and processes
- Report to the Group executive on your progress and status of key deliverables and projects
- At least 5 years’ experience in a Senior Executive Assistant / Business Manager / Administration Coordinator capacity.
- Tertiary qualifications in a related field (Diploma or above)
- Experience partnering with and supporting senior Executives.
- Experience working in a commercial environment with exposure to legal or company secretarial/ governance field (in-house strongly preferred)
- Demonstrable experience tracking deliverables and actions, ensuring others are accountable
- Experience managing budgets
- Strong ability to utilise technology, ideally Diligent, DocuSign and SharePoint.
- Must have high proficiency in the MS Office suite, particularly Excel and PowerPoint.
- A high attention to detail and a willingness to learn.
- Strong planning skills and initiative.
